When you are logged into the MyTeamSafe app you will notice you have an on-site, off-site and absent buttons.

What Will Your Supervisor See?

When your supervisor is looking at their dashboard they will see whether you are On-Site, Off-Site or absent by the icon next to your name.

Getting Started

To get started you will need to head over to the side menu on the left hand side and click on Administration then User Management.

Selecting The User

Once you are in User Management you will need to click on the Users Tab. 

Once you find the user click the pencil located on he right hand side.

head over to the Type Tab make sure that the Lone Working Permission is ticked in green. If this is not ticked then the Lone Working permission is not on. Once you have ticked the box make sure to save the changes by clicking on the tick at the bottom right next to the X button.

To view your staff you will need to log into the Admin

You will notice when scrolling down you will see more of your staff as you continue to scroll.

Dashboard

After logging into the Admin you will be taken to the dashboard where you can view your staff that are in a session or aren’t in a session, the staff that dont have a session running can not be monitored, your staff can only be monitored via GPS if they are in a session and if the strategy has been set up to track your GPS location.

If you have set up groups then you will also see the staff in their individual groups. From here you will be able to see who is on-site, off-site and absent. As well as the staff that have sessions running and people who do not.

Filter active sessions

This is located at the top left of the screen. This can be turned on by simply clicking the switch button.

How Do You Login?

When you have been created as a User you can sign into the app by entering your email address and password provided then press the “login” button.

How Do You Sign Out?

To sign out click the settings cog in the top right hand side of the app. You can then select Sign Out

Getting Started

Head over to the +Add button on the right hand side and click on it and click group.

Group Managment

You will need to fill in these details, reminder, that the strategy is being set at group level, the supervisor you choose will be in charge of this group.

Setting Up Escalations

You can also set up auto starts and global exclusions for all users within the group.

You will see now that the group you have created has successfully been added under Groups

The approved Users can text “FIRE” to the MyTeamSafe mobile number.  They will then receive an email fire roster showing which employees are On-Site, Off-Site or Absent.

Enable On Site List

To enable users to request a fire roster (on-site list) you must first log in to the admin portal, then turn on the ‘on-site permission’ for each user that is permitted to initiate the fire roster. This is performed via the user management tab.

Fire Roster Email

An email will be sent to EVERY user in the company with the ‘on-site list’ permission.

If a user has not changed their on-site status recently, they will be clearly marked with red to highlight that their status is stale.
The email will include a list of all users within the company, separated per group.

absent = GREY

It’s important to know the features on the dashboard. You may miss out on a feature that can seriously benefit you and your business.

The dashboard is where the supervisor can monitor the welfare of employees.

In this documentation we will be showing you around the dashboard and what the features are and what they all do.

Webdashboard – Side Menu

On the dashboard you will see on the left there is a menu.

Dashboard – This allows you to go to the main dashboard at anytime.

Administration – Gives you the choice to go to User management or Strategy Management.

Video Tutorials – Video tutorials where added to help new users with MyTeamSafe by watching videos.

Documentation (PDFs) – Documentation was added to help new users have a more in depth explanation on how MyTeamSafe works.

Dashboard – Filter buttons / Refresh timer

On the dashboard you will see at the top of the page

Filter Active Sessions Button – This will show you everyone in the company that only have sessions running. This filters out all users that do not have a session running.

Filter On Site Only Button – This will show you everyone that is only on-Site, This filters out all the users that are either Off-site or absent and only shows the users that are On-Site.

Refresh Every Feature – This feature was added so that the supervisor didn’t have to keep refreshing the page to keep a eye on their employees. You can choose up to a 5 minute refresh time. This allows your supervisor to leave the dashboard running allowing the dashboard to refresh every minute (depending on your refresh time)

Active status, battery life and strategy running

On the left of each user on the dashboard you will see the users current battery life of their phone, it also shows whether they are safe or have escalated ( Screen shot shows SAFE).

This will also show the users current session they are running.

Any users that are not using the system will show up as INACTIVE.

Supervisors on-site, off site and absent status

When navigating the dashboard you will see Supervisor / Deputy for each user.

The screenshot will show you green, orange and red looking icons with a building inside.

Orange Supervisor is currently offsite

Green Supervisor onsite

RED – NO available supervisor or deputy assigned to user.

Users OS version

Next to the lone workers name there will be icons to indicate what OS the user is using, to see the version number simply hover over the OS icon.

The screen shot shows;

Drop Down Arrows (Users)

The drop down arrows on the right side of every user shows

Edit – This allows you to edit the users details

History – Will take you off to the audit showing you the users location and history of their strategies actions in the last week.

Audit – Will take you to the audit that is currently running and also show the audit on the last started session.

Stop Session – This stops the users current session running

Reset password – This will be set with a generated password. The user will receive the details via their login email address.

Delete User – Removes the user from the company/system

Drop Down Arrows (Group)

If  you have groups created within your company you will see that you have a drop down arrow on the right side of the groups title, this will allow you to delete the group.

Pencil Icon – Allows you to edit the  group, this gives you the choice of changing the name of the group, the strategy, supervisor, timezone and auto starts.

Map icon – Takes you to group monitoring where you can see ONLY the users with active sessions within that group on the map.

Drop Down Arrows (Company)

You will see on the right side of your companies name a drop down menu. This will give you a selection of summaries to select.  Each one will take you to a usage report to help you keep your business organised and safe.

Pencil Icon – This will allows you to edit the companies name, strategy, supervisor, timezone, Subscription, payment details and auto starts.

Map icon – Takes you off to Company monitoring, which will allow you to see all users in the company.

Auditing was added to MyTeamSafe to keep a very sharp eye on your users. This helps the supervisor have a better understand to exactly what times they have checked in and more. This feature can really help you and your business for better organisation and have a better understanding who has been late arriving at the workplace.

Admin – Webdashboard

To explore the audit of a user this is located on the Admin dashboard. Click the small arrow on the far right on the user you wish to view the audit on and click audit.

Exploring Auditing

As you can see from the screenshot you can see that I started my session, the date and time will be shown when you started the session it will also show you how it was started. This session was started via the app.

You can also see the users current location. If they are travelling by vehicle or travelling by foot you can see that the map will update their location.

In this screenshot a Panic was started. This will look the same whether it was started via SMS or via the app.

This is where the audit can become very helpful to the supervisor to track their employees location and see where they where before the accident occurred and where they are.

Getting Started

To get started you will need to head over to the side menu on the left hand side and click on Administration then User Management.

When your on user management you will need to click on the Users Tab

You will then need to find the user that you are searching for and click on the pencil icon on the right hand side.

Once your in the User Management screen you will need to head over to the auto start tab.

Then click on the pencil icon located next to Global Exclusions.

Setting Up Escalations

To simply exclude a day off you can click on the date and press the green +add button.

How to access the usage report

This feature can only be used at Company Level

To view the Usage report on the dashboard you will need to be on the main page of the dashboard and go over to the arrow on the far right of your company name and click on the down arrow.

Once you have clicked on the arrow you will see a drop down menu. You will now be shown :

Today
5 days
7 days
31 days.

In this documentation we want to see the last 31 days. This shows you everything thats happened in the company in the past 31 days (month)

Usage Report

You can now view the usage summary of your company this allows you to keep track of the total amount of sessions that have started, also knowing how many sessions that have escalated or started a panic mode and much more.

This screen shot helps you get a better understanding on how it all works. This ussage report is a 31 day summary.

Company summary – This shows you the report summary of everyone in the company using the system. From this screen shot you can see the total amount of

Sessions that escalated
Sessions escalated to supervisor
Escalation emails
Escalation SMS
Escalation Push

This can be very useful and effective to your business.

Group Summary

Group summary – This shows you all the groups created within the company. From the screen shot you can see that there are 4 groups in the company :

Blue Team
Night Shift
Purple Team
Red Team

This helps the supervisor check the reports for each group in one place, this can be helpful to see which group is in the most venerable environment.

Overview of highest escalation per day

In this screenshot you can see the Over view of the highest escalation per day.

The numbers in the diagram above are the days.

This screenshot allows you to see how many sessions your user has started in a day, the color of the number will change if they have

Escalated (Blue)

Escalated to supervisor (orange)

Panic (Red)

If your user has only started a session and hasn’t escalated or started a panic the number will remain green. The number will keep a color with the highest priority. For example if your user started a panic but started 4 sessions in one day the number will remain red for that day.

You can hover over a number with your cursor, this will then show you how many sessions they have started as well as escalations and panics.

Deleting a user from Admin dashboard

To stop a users session you will need to find their user on the dashboard and click on the arrow on the far right of their name. Once you have clicked on the arrow you will see that you can  ‘Stop session’ (this is highlighted in red)

This feature was added to help the supervisor, for example, your user may be on holiday and the session is still running or forgot to stop there lone working session before they went on holiday.
